Pre-check

1.All mentors and PMs, please arrange a time to have your car checked for damage by your local car agent sometime between 3 and 21 Aug.

2.Vehicle agents to carry out checks on all cars between 3 and 21 Aug.  Mentors/PMs and vehicle agents must sign a vehicle report when the car is picked up by the agent and when the car is handed back to the mentor/PM.  This is very important in the case of any dispute.

3.The cost of any repairs should be paid direct to the agent.  (Please refer to the liability document.  In the event of a dispute, contact Andy immediately).  

4.When the car is handed back after the pre-check, the vehicle agent should also ask the staff member to pay any outstanding parking tickets, traffic/police summons

 

Final handover

5.Mentors to contact vehicle agents by 1 Sept at the latest to agree handover at end of September (date, time, place).  PMs to contact vehicle agents at least 3 weeks prior to leaving to agree the same.  Cars may be returned up to the day of your departure.

6.When car is finally handed over to the vehicle agent, a vehicle check-in report must be signed by mentor/PM and vehicle agent.  Again, this is very important in the case of any dispute.

7.At final handover, any new damage on the car must be paid for (see note below about damage occurring between pre-check and final handover) and the vehicle agent should also ask the staff member to pay any new parking tickets, traffic/police summons.

8.If there is any damage to the car between the vehicle check and the final handover, this must be reported to the vehicle agent and Andy immediately so that the matter can be settled in good time before final handover.
